Terms & Conditions

1. Introduction

LUMINA Japan is a Japan-based luxury travel company specializing in premium wellness, beauty, and medical tourism experiences. Our mission is to provide discerning travelers with authentic, high-quality journeys that support personal wellbeing and transformation through Japan’s healing nature, culture, and innovative medical technologies. By booking any service with LUMINA Japan, you agree to these Terms & Conditions ("Terms"), which define the legal framework of your relationship with our company.

Please read these Terms carefully before booking, as they include important information regarding services, liabilities, and your responsibilities as a guest.

2. Booking and Payment

2.1 Booking Process

To book a LUMINA Japan tour or wellness program, clients may:
Complete our inquiry form on our official website.
Contact our concierge directly via email or phone.
Upon request, we will provide a personalized itinerary and proposal including experiences, inclusions, and estimated costs. A confirmation invoice will follow once the proposal is approved. Full payment is required prior to confirming and scheduling the experience.
Accepted payment methods include bank transfer, credit card, and PayPal. Payments made from overseas may incur additional handling or currency conversion fees.

2.2 Deposits, Changes, and Cancellations

A non-refundable deposit of $1,000 USD per person is required to secure any tour or treatment plan.
For cancellations made 91+ days prior to the scheduled start, only the deposit is forfeited.
Cancellations made 61–90 days prior will incur a 30% fee of the total tour price.
Cancellations made 31–60 days prior will incur a 50% fee.
Cancellations made within 30 days of the start date are non-refundable.
If payment is not received at least 45 days before the scheduled start date, we reserve the right to cancel your experience and retain the deposit.
Any non-refundable fees from third-party partners (hotels, clinics, transport providers) will be passed on and deducted or invoiced accordingly.

2.3 Weather and Force Majeure

If a tour must be modified due to extreme weather or natural disasters (e.g., typhoon, earthquake), LUMINA Japan will contribute up to ¥40,000 per guest toward hotel or transport rebooking. Remaining costs are the responsibility of the guest.
If LUMINA Japan cancels a tour due to such circumstances, clients will receive a full refund minus the deposit.

3. Medical and Wellness Services

LUMINA Japan works with licensed Japanese clinics and wellness centers to coordinate health-related services. However, we do not provide medical diagnosis, treatment, or insurance. All medical services arranged are subject to the policies, procedures, and liability coverage of the partner clinic or institution.

By booking a medical or beauty package, clients confirm that:
They are medically fit to travel and participate in the selected treatments.
They understand all procedures are optional and voluntarily selected.
They are responsible for securing international travel insurance that covers medical tourism, including pre-existing conditions, medical evacuation, or trip cancellation.

LUMINA Japan is not liable for medical outcomes, side effects, or complications related to procedures.

4. Inclusions and Exclusions

Each itinerary clearly outlines what is included (e.g., treatments, guides, activities, accommodations, transport) and what is excluded (e.g., international airfare, travel insurance, meals not mentioned, personal expenses).

Tour prices include:
Personalized itinerary planning
Accommodation recommendations per tier (Silver, Gold, Platinum)
Private concierge service and local support
Activity and treatment bookings
LUMINA’s service fee (20%) and administrative handling fee (1.1%)

5. Liability Waiver

LUMINA Japan is not liable for:
Personal injury, illness, or death during your trip.
Loss, theft, or damage of personal belongings.
Delays or changes due to weather, strikes, or third-party provider issues.
We reserve the right to amend itineraries, modify services, or substitute experiences of equal value if necessary. Clients will be informed in advance when possible.

6. Travel Insurance

All clients are strongly required to purchase comprehensive travel insurance that includes:
International medical coverage
Coverage for medical tourism and elective procedures
Trip cancellation or interruption
Personal liability and baggage loss
Clients who decline to purchase insurance assume full responsibility for any incurred risks.

7. Data Protection

LUMINA Japan complies with Japan’s Act on the Protection of Personal Information (APPI). We collect and use client data solely for the purpose of organizing your experience, processing bookings, and providing personalized services.

Your personal data will not be shared with third parties except as required to fulfill the services you have booked (e.g., hotels, clinics, drivers). For more details, refer to our full [Privacy Policy].

8. Governing Law and Dispute Resolution

These Terms shall be governed by and interpreted in accordance with Japanese law. All disputes shall be subject to the exclusive jurisdiction of the Tokyo District Court.

In case of disagreements, both parties will first attempt to resolve the issue amicably. If a resolution cannot be reached, arbitration or mediation in Japan may be pursued.

9. Entire Agreement

These Terms constitute the full agreement between LUMINA Japan and the guest. Any changes must be confirmed in writing by both parties. By confirming your booking, you acknowledge that you have read and agreed to all of the above.
